With Eventdrive, your registration form can be open to everyone, or reserved for the people you invited. This article explains the difference between the two, how to restrict access to an open form, and how it works for your website and your Live.
- Public registration form
- Private registration form
- Restricting access to a public form
- What about the rest of your event?
Public registration form
A public form works like a shop address: you share it with whoever you want, and anyone who has it can walk in. You don't need to know your attendees beforehand.
You can share the link however you like (social media, website, your own mailing tool...) or through an Eventdrive campaign. Once the link is shared, the list of registrants updates in real time under INVITE > Attendees.
You can also import a list of attendees alongside a public form, if you already know part of your audience:
- Imported attendees who register have their status updated from "Awaiting answer" to "Confirmed".
- Attendees who were not imported and register directly via the link are added to the list as "Confirmed".
To set up your form, see the article How to create a registration form?
Private registration form
A private form works like a named invitation card: each attendee gets their own, and it only works for them. That link, called a special link, is sent by email from Eventdrive, which means you need to import your attendee list beforehand.
Its advantage: any fields already filled in on your import file (first name, last name, email, company, job title...) are pre-filled on each attendee's form, since the link automatically identifies who clicked it.
The invitation must be sent through the Eventdrive tool, not your own mailbox, so the special link is generated correctly. To find out which link to send and how to insert it into your email, see the article How to send your attendees the right registration form link?
⚠️ A special link belongs to a single attendee. If it
is forwarded, whoever receives it accesses the form
under the original person's identity. A private form
should therefore never be shared publicly.
Restricting access to a public form
Your form doesn't have to be fully public or fully private. Even on an event open to everyone, you can reserve access to the form for the people on your attendee list, or for selected groups only, from its settings.
Both settings, and what changes once one of them is enabled, are detailed in the article Event status: Open, public.
What about the rest of your event?
The same principle applies to the rest of your event:
- Website: access depends on your event's status (Open public or Open restricted). When restricted, only a special link grants access. See the article Event status: Open, restricted.
- Custom page: you can reserve a page of your website for selected attendee groups, from its settings. Here too, only the attendees concerned can access it, and only through a special link. See the article How to create a custom page for your website?
- Live streaming: you choose its visibility from LIVE STREAMING > Settings. When public, anyone with the link can join the Live; when private, an attendee code is also required. See the articles Live Streaming: How Does It Work? and How to communicate the link of your Live Streaming?
If one of your attendees lands on a 403 error when opening their link, the steps to follow are detailed in the article Your registration form link returns a 403 error, what should you do?
