With Eventdrive, you can create a live show for your events.
In this article, you'll find the best way to prepare it.
Are you an event manager, moderator or live speaker? This document is essential to help you prepare and ensure the success of your event.
2 weeks before the live event
- An invitation e-mail must be sent to the moderators and speakers of your live event. This e-mail, sent with Eventdrive, should remind them of :
- The dates and times of the rehearsal and the live event on the day
- Equipment to bring (see below)
- Technical tests to be carried out (see below)
- The personal live connection link with the special Live stream link: %liveStreamUrl%.

🎥 Equipment
Moderators and speakers must be equipped with :
- a computer with the Chrome browser (with version 81 or higher) Caution: Apart from Chrome, Edge (2022 and newer) and Safari, other browsers are blocked for speakers and moderators.
- an ethernet cable to connect to the Internet by wire and avoid wifi: wifi is fast but not stable
- a headset (like the one on your smartphone, for example)
- a USB webcam if you want a better image
☝️ Interactivities
- Define the interactivities required for your event
- Set services and display location (App or Live)
- Set interactive content (Quiz questions/answers...)
- If broadcasting interactivities, prepare the Wall (on the same computer as the broadcast)

⚙️ Technical tests
We now invite you to carry out technical tests to check your connection and equipment. Connect to the live site using the link sent to you by email.
1. Test on the Live home page
- Click on the link: "I want to test my configuration and connectivity first".
- Then choose your camera and microphone:

Start the test, all indicators should be green:

Do you work with an advertising agency?
Send them the RTMP link for the live event they'll be broadcasting. It's available on the Eventdrive back-office, in your event space and in the Live streaming menu.
A more complex project?
If you're planning a more complex live event involving a control room and remote speakers from their computers, then everyone, including the control room, will log in as a speaker. Our Customer Success team can help.
4 days before the live event
Live rehearsal for speakers
- Meet on the Eventdrive live site and allow 15 to 30 minutes.
- Test everyone's video, microphone and screen sharing.
- If necessary, explain the buttons available on the live interface.
- Introduce any interactive activities (questions, voting, etc.) that will take place on the day of the live event.
- Remind everyone that you'll be in the waiting room 20 minutes before the start of the live show on D-day.
Keep your eyes peeled, check the staging
- Don't stand against the light: the camera shouldn't be aimed at a light source such as a lamp or the sun.
- Stand up straight and tall. Avoid low-angle shots: ask participants to raise their camera or computer for a better angle of view.
- Identify any participants who don't have a microphone and whose sound is echoing: ask them to get equipped.

The day of the live
What to do when you log in
- Check that you are not live (red button at the top of the screen).
- Reset interactive services and delete any chat messages.
- Open interactive services to participants
- If necessary, open moderation and the wall at your event.
- Take another computer and connect to the Participant view, so you can have a realistic view of your current event (live or not yet, sound level, image quality...).
Meet in the waiting room
- Meet the moderators and speakers 20 minutes before the Live event in the waiting room.
- Start sharing content in the waiting room (to avoid sharing problems at the start of the event).
- Check that the broadcast conditions are the same as for the rehearsal.
- Do a 5-second countdown aloud and launch the live.
🚨 If your company or subsidiary is blocked by proxy, firewall or security rules, please use a personal computer and an open Internet connection. Please also contact your IT/network team and we will share the necessary technical information.
