How to configure your event to display it on your app?
App visibility is correlated with the event status.
An Open, Public event will be visible to everyone on the app.
An Open, Private event will only be visible to your guest list.
From the Info - Main info menu, you will find options to further restrict access to your native app.
-
Restrict access to attendees of the list
This option is automatically enabled for "Open, private" events and only grants access to the event in the app to attendees who have been added to your event. -
Restrict to a group of attendees
Only attendees from the selected groups will be able to access your event in the app.
Those options are not available for the web app.
How to share your app with your attendees?
How to find the public link to your web app:
If you are using a web app, you can find the link to your web app from the App - Manage the app menu.
The application access link can no longer be modified once the event is "Open". You must modify it while the event is in "Preview".
How to find the private link to your web app:
You can send a special link in an email that directly connects the user without them having to enter credentials.
This link is personal and must not be shared outside of an Eventdrive email.
How to find the App Store (Apple) and Google Play Store links for your native app?
When your application is created, an automatic download page is generated; contact your CSM to retrieve its link.
If you are using a native app, your attendees can download it from the App Stores.
Contact your Customer Success Manager (CSM) to learn more.
How to access the web app via QR code:
If your event is Open, Private, attendees cannot access it via a QR code.
However, it is possible to temporarily change your event's visibility to make your app accessible during your interactive sessions.
If you are using a web app, you can find the link to your web app from the App - Manage the app menu.
When to use a QR code to access the app?
- Your event is linked to a web app
It is convenient to provide a QR code to your attendees so they can access the app quickly from their phones. - You have set up interactivities during your event
You can then display a QR code on the main screen of your event so they can directly access the Vote, Q&A, and other interactivities.
How to create a QR code?
Creating a QR code linking to the app is not possible from the Eventdrive administration center.
However, you can create one using software such as Canva, Microsoft Word, or Photoshop.
If you use an online QR code creation service, it is important to check that the QR code is not time-limited.
How to connect your attendees to the app?
Are your attendees logged into the app when they scan a QR code?
No, the QR code link is identical for everyone, so attendees cannot be automatically logged in.
If they are not logged in, they cannot see their personalized agendas nor use the following interactive services:
- Non-anonymous Questions & Answers (Q&A)
- Non-anonymous Tag Clouds
- Quizzes
- Non-anonymous Instaphoto
- Scan & Notes (lead gen)
- Networking
Which interactivities are accessible without your attendees logging in?

Depending on your event configuration, several methods allow you to connect your attendees:

Your employees can use their usual company login to connect directly to the app. -
If you are using a web app only
This option is not available on the native app.
You can send a special link in an email that directly connects the user without them having to enter credentials. -
If your attendees access the app via a QR code
They are not automatically connected. They will need to provide their login and password when they first arrive on the interface. -
If your attendees access the native app (installed on the phone)
They only need to log in once to stay connected throughout the duration of the event.
