How to access the booking module?
You'll receive a personal link by email giving you access to the booking module. This link is personal to you: don't share it, anyone who uses it can book on your behalf.
Once logged in, you can book a slot alone, with a group, or entirely on behalf of other people (for example, an assistant booking a meeting for their manager and a client).
How to book a slot?
The filters above the booking module are available to help you find the available slots more easily.
By clicking on an available time under a resource's name, a booking window opens. You can then:
- Choose the desired resource and slot
- Enter the number of participants in addition to yourself (0 means you're coming alone), within the resource's capacity
- Invite other people: each one receives an email to confirm or decline
- Add services or equipment, within the available stock
⚠️ Good to know: you can book on behalf of someone who is not on the attendee
list, and invite other people too.
What happens after your request?
Your booking request must first be approved by the event organizer. Only the person who made the request receives a confirmation email before this approval; guests added to the booking only receive their invitation (with buttons to confirm or decline) once the request has been approved.
⚠️ Good to know: your request may be automatically declined if another
request on the same slot is approved before yours and the remaining
capacity or a shared service's stock is no longer sufficient.
How to manage your bookings?
From "My Bookings", you can find, edit or cancel your bookings.
⚠️ If you change the date, time or resource of an already-confirmed booking,
a new request is submitted for approval: the approval process starts over.
