With Eventdrive, you can add information about attendees, without having to ask them for it.
For example, this feature allows you to attach to each attendee :
- The name and address of the hotel where they are staying
- Room number, once completed by the hotelier
- The number of the cab to contact to get to the event venue
- Their internal number for post-event data use
- Specific data resulting from a formula (such as public transport + hotel = car rental number)
If, however, the data is shared by several individuals, it may be more appropriate to add them to a group.
This is particularly true when you're building teams.
We recommend that you consult the article "How to create a group" to address this situation.
If the information is individual, it can then be automatically included in the attendees e-mails and badges, in the same way as his or her first and last name, or company.
To do this
1 - Go to the back office "Registration form" section
2 - Create a blank registration form. Note: we advise you to give this form a specific name such as: "Back Office - Do not delete, do not modify".
3 - Add fields to the registration form corresponding to the type of data you wish to enter (Example: text on one line for the hotel name, text on several lines for the hotel address).
4 - Fill in column names with understandable variables. The column names will be used in your Excel export.
5 - Save the registration form. To avoid any errors, we recommend that you save this form as a private file.
6 - Go to the Invite tab → attendees
7 - Select a attendee at random
8 - Click on "With selected" then select CSV or XLSX according to your preferred export method
9 - Click on "Go"
10 - Select the fields to be exported that you have just created, as well as the last name, first name and email fields, which are mandatory.
You'll end up with a file containing the correct column headings, which you simply need to complete in order to add data to a attendee.
This information will be linked to the attendee, and you'll find it in the form of personalized tags in e-mails or badge editors.
Note: this principle can also be applied across the entire organization, by creating global custom fields.
